Who we are

This Privacy Policy explains how Pelican Dynamics, LLC doing business as Pelican Log (“Pelican Log,” “we,” “our,” or “us”) collects, uses, discloses, and otherwise processes personal data when you use our website, application, and related services.

Scope

This Privacy Policy applies to the Pelican Log website, web application, support interactions, sales communications, and other services that link to or reference this Privacy Policy.

If you use Pelican Log through an organization account, some of the data in your account may be controlled by that organization. In those cases, the organization may be the party primarily responsible for certain instructions about your data, and you may need to contact that organization first for some requests.

Our role

For data we collect and use for our own business purposes, such as account setup, authentication, website operations, support, billing, security, and product improvement, Pelican Log generally acts as a controller or business.

For data that a customer organization uploads or enters into Pelican Log about its clients, guests, guides, or operations, Pelican Log may act as that customer’s processor, service provider, or contractor, depending on the law that applies and the terms of our contract with that customer.

Categories of personal data we collect

We may collect the following categories of personal data:

Account and identity data. This may include your name, email address, username, organization name, role, authentication identifiers, and the information you provide when creating or updating an account.

Third-party sign-in data. If you choose Google, Apple, Microsoft, or another login provider, we may receive information that provider shares with us, such as your name, email address, profile image, provider-specific user ID, or similar account details, depending on the options you authorize.

Organization and user-management data. This may include team membership, role assignments, permissions, and user activity associated with an organization account.

Trip and operational data. This may include trip schedules, trip history, notes, participation records, operational logs, and other records that your organization creates in the service.

Client and relationship data. This may include client or guest names, contact information, trip histories, preferences, communication history, and other CRM-style records that users enter into Pelican Log.

Location data. This may include hunting areas, blinds, property identifiers, route notes, or other location-related records. If Pelican Log stores precise coordinates, that information may be treated as more sensitive under some laws.

Species, harvest, and game-yield data. This may include species settings, records of game yield, defaults tied to trips or locations, and related operational information.

Support, sales, and inquiry data. This may include data you submit through contact forms, emails, demos, support tickets, or other communications with us.

Device, usage, and log data. This may include IP address, browser type, device identifiers, timestamps, pages or features used, security logs, and diagnostic information.

Cookies and similar technologies. We may use cookies, local storage, pixels, SDKs, or similar tools for session management, preferences, analytics, security, and other purposes described in the cookie section below.

Billing data. If we offer paid plans, billing data may include business contact details, subscription details, invoice records, transaction metadata, and limited processor-returned payment status information. We do not store full payment-card details if a third-party processor handles them.

Content you choose to upload. If Pelican Log supports uploads, we may process files, images, notes, comments, attachments, or other content that you or your organization provide.

How we collect personal data

We collect personal data directly from you, from your organization administrators or teammates, from authentication providers you choose to use, automatically through your use of the website or application, and from service providers that help us operate the service.

We may also receive data from customer organizations that create or manage records about clients, guests, or trip participants in Pelican Log.

Why we use personal data and legal bases

We use personal data to provide and operate Pelican Log, authenticate users, administer accounts and organizations, process and store trip and client records, support customer requests, send service communications, secure the service, prevent fraud or misuse, comply with law, and improve Pelican Log.

If GDPR or a similar law applies, our legal bases may include:

  • Contract for providing the service you request, maintaining your account, processing transactions, and delivering support;

  • Legitimate interests for service security, product improvement, fraud prevention, internal analytics, and business administration, where those interests are not overridden by your rights;

  • Consent where required, such as for certain cookies, optional marketing, or other processing that depends on consent;

  • Legal obligation where we must retain, disclose, or otherwise process data to comply with law.

Where we rely on legitimate interests, we aim to keep the processing proportionate and limited to what is reasonably necessary.

  • customer organizations and authorized users within those organizations;

  • authentication providers you choose to use;

  • hosting, infrastructure, storage, email, analytics, customer-support, security, and similar service providers;

  • payment processors, if paid plans are offered;

  • professional advisers, auditors, insurers, and corporate affiliates where reasonably necessary;

  • regulators, law enforcement, courts, or other parties when required by law or to protect rights, safety, or the integrity of the service;

  • buyers, investors, or counterparties in a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality and use restrictions.

Placeholder statement:We may sell, share, license, or otherwise disclose certain user information to advertisers, marketing partners, brands, and business partners for advertising, audience targeting, analytics, promotional, and commercial purposes, including cross-context behavioral advertising.

This may include information such as device identifiers, usage activity, location information, demographics, interests, engagement data, and other information collected through use of the Services.

California residents have the right to opt out of the sale or sharing of their personal information as defined under the California Consumer Privacy Act (“CCPA/CPRA”). We do not knowingly sell or share personal information of individuals under 16 years of age without legally required consent.

Social sign-in providers

When you sign in through Google, Apple, Microsoft, or another provider, that provider processes your information under its own privacy terms. We recommend reviewing those privacy notices directly. Pelican Log uses the information we receive from those providers to authenticate you, create or maintain your account, and support related account-management functions.

Cookies and similar technologies

We may use cookies and similar technologies for essential service functions such as security, login continuity, load balancing, preferences, and fraud prevention. We may also use optional analytics or other non-essential technologies if enabled.

Where required by law, we will ask for consent before using non-essential cookies or similar technologies. If your browser or device sends legally recognized preference signals, we will handle them as required by applicable law.

If Pelican Log later deploys advertising or cross-site tracking technologies, this section and any required notices should be updated before that deployment goes live.

Promotional and Referral Information

When you sign up using an affiliate or promotional code, we collect and store that code internally. We use this information solely to verify your eligibility for promotional rewards, such as our upcoming 3-month membership offer. We do not sell this data, nor do we share it with any third-party marketing networks.

Data retention

We retain personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the service, maintain security, comply with legal obligations, resolve disputes, and enforce agreements. When we no longer need personal data, we delete it, anonymize it, or securely isolate it where deletion is not immediately feasible.

Suggested retention placeholders for lawyer and operations review:

  • active account data: for the life of the account plus [12–24 months] after closure;

  • customer operational records: until the customer deletes them or the subscription ends, plus [post-termination export window] and required backup retention;

  • support inquiries: [12–24 months];

  • security and audit logs: [12–24 months];

  • billing, tax, and accounting records: [6–7 years or as required by law];

  • backup archives: rolling [35–90 days], unless longer retention is legally required.

International transfers

Pelican Log may process or store personal data in countries other than the one where you live. If GDPR or similar cross-border-transfer rules apply, we will use an approved transfer mechanism where required, such as an adequacy decision, standard contractual clauses, or another lawful safeguard.

Security

We use technical and organizational measures designed to protect personal data against unauthorized access, disclosure, alteration, and destruction. These measures may include access controls, least-privilege restrictions, authentication controls, encryption in transit and at rest where appropriate, logging, monitoring, backup and restoration processes, and periodic review or testing.

No security measure is perfect, and we cannot guarantee absolute security. You are also responsible for safeguarding your credentials and using the service securely.

Your rights and choices

Depending on where you live, you may have the right to:

  • access personal data we hold about you;

  • correct inaccurate data;

  • delete personal data, subject to exceptions;

  • restrict or object to certain processing;

  • receive a portable copy of certain data;

  • withdraw consent where processing depends on consent;

  • opt out of sale or sharing, if applicable;

  • limit certain uses or disclosures of sensitive personal information, if applicable;

  • lodge a complaint with a regulator.

California Privacy Rights:California residents may exercise their rights under the California Consumer Privacy Act (“CCPA/CPRA”), including the right to know, access, correct, delete, or opt out of the sale or sharing of personal information, by contacting Pelican Log through the methods identified in this Privacy Policy.

California residents may also designate an authorized agent to submit requests on their behalf. Pelican Log may require the authorized agent to provide written permission signed by the consumer, proof of identity, proof of authority to act on the consumer’s behalf, and/or direct verification from the consumer before processing the request.

Response Time to Privacy Requests:Pelican Log will respond to verified privacy, data access, deletion, correction, and opt-out requests within the time periods required by applicable law.

For California residents, Pelican Log generally aims to respond to verified requests within forty-five (45) days of receipt, subject to any extensions permitted by law.

For users located in jurisdictions with different legally required response periods, including certain international jurisdictions, Pelican Log will respond within the timeframe required by applicable law.

Children’s data

Pelican Log is not directed to children 13 years of age and under, and we do not knowingly collect personal data directly from children in violation of applicable law.

Users must be at least 18 years old to participate in contests, tournaments, competitions, prize programs, paid events, affiliate programs, or any activity involving monetary prizes, payouts, or rewards offered through Pelican Log.

If Pelican Log is used by organizations that enter records relating to minors, the organization is responsible for ensuring it has an appropriate legal basis and any required notices or parental or guardian permissions.

If you believe a child has provided us personal data in violation of law, contact support@pelicandynamics.com and we will review the issue and take appropriate action, including deletion of the information where required.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will post the revised version and update the “Effective Date.” If changes are material, we may also provide additional notice, such as by email or in-product notice. Where law requires consent for a new use of data, we will seek it before using data for that new purpose.
